Appointment coordination

A cancellation at 9am for a 2pm slot is either a filled slot or an empty one, and the difference is whether anyone had time to work the waitlist in those five hours. Usually nobody does.

What we do

  • Confirm every upcoming appointment on your cadence and flag the ones that go silent.
  • Handle reschedule requests end to end against real provider availability.
  • Work the waitlist the moment a cancellation lands, and keep going until the slot is filled or the day arrives.
  • Keep a live board of unconfirmed, at-risk and backfilled appointments that your desk can read at a glance.
  • Track no-show rate by provider and by appointment type.

What stays with your clinic

  • Provider availability, clinic hours and the rules about who can see whom.
  • Any appointment that needs triage before it is booked.
  • The final word on overbooking.

What we need from you

  • Scheduling access in your practice-management system.
  • Provider hours and the appointment types they cover.
  • Your waitlist, however it exists today — a list, a spreadsheet, or notes.

Week one

Every appointment in the next two weeks gets a confirmation state. The unconfirmed ones become visible for the first time.

By the end of month one

No-show rate and backfill rate, reported per provider.
