Billing follow-up

A card expires quietly. The member does not know and your desk does not see it until the month-end report. By then two charges are missed and the member is halfway out the door. Cards fail on every recurring plan; what decides whether it costs you money is how fast someone works the list.


What we do

  • Work every failed charge the day it fails, on a fixed ladder: retry, notify, alternate contact, call task.
  • Catch expiring cards before they fail and ask for the new one in advance.
  • Re-engage lapsed plans with a plain, non-pushy sequence — and mark the ones that are genuinely gone.
  • Send receipts and payment confirmations so the member never has to ask.
  • Report recovered revenue per attempt, so you can see what the ladder is actually worth.

What stays with your clinic

  • Your merchant account and payment provider. We never hold card numbers.
  • The call on write-offs, discounts and collections escalation.
  • Pricing. We follow your plan prices exactly as configured.

What we need from you

  • Read access to your recurring billing reports or a daily export of failed and expiring charges.
  • Your preferred wording for payment reminders, or ours if you would rather.
  • A rule for when a lapsed plan should be closed.

Week one

Every open failed and expiring charge is loaded and worked. This is usually where the first recovered revenue shows up.

By the end of month one

A recovery rate per ladder step, and a list of plans that should be closed rather than chased.
